Create Sales Exchange
The Create Sales Exchange screen is a specialized multi-step interface that combines the power of the Returns and Sale Invoice modules into a single, seamless workflow.
Step 1: Select Original Invoice
To maintain financial integrity, every exchange starts by identifying the original sale. Searching and selecting a valid invoice ensures that returned items are credited at their exact historical purchase price.
Step 2: Items Returning
Select the items the customer is giving back. The interface validates quantities against the original sale to prevent invalid returns. The total value of these items is calculated as a Credit Amount.
Step 3: Items Purchasing
Add the new items the customer is acquiring. You can use barcode scanning or text search, just like on the standard Sale Invoice screen. The total value of these items is the Debit Amount.
Step 4: Final Settlement
The system calculates the difference:
- Debit > Credit: The customer pays the remaining balance.
- Credit > Debit: The store issues a refund for the excess credit.
Select the source/destination cash account and finalize the transaction.
Real-World Use Cases
- Size Swaps: A customer exchanging a size Medium shirt for a size Large, with no additional cash changing hands.
- Upgrade Exchange: A customer exchanging a basic phone model for a premium one, paying the price difference at the register.
