Purchase Invoices

The Purchase Invoice is the primary document for stock acquisition. Agora's interface is optimized for high-volume data entry, allowing procurement officers to quickly map physical supplier invoices to digital records.

The Purchase Invoices dashboard provides a comprehensive view of all procurement transactions. You can filter by vendor, date range, or invoice status.

Filters & Search

Use the top toolbar to find specific invoices quickly:

• Search Bar — Search by Invoice # or Vendor.
• Date Filter — View purchases from a specific period.
• Status Filter — Filter by Paid, Partially Paid, or Unpaid status.

Clicking on an invoice opens the detailed view, showing every item purchased along with its cost breakdown.

Itemized Breakdown

Each item in the invoice includes:

• Quantity Received — The physical count added to stock.
• Unit Cost — The base price per unit from the vendor.
• Landed Cost — The final cost including shipping/taxes.
• Batch Info — Expiry date and batch ID generated for this item.

The summary section tracks the total financial impact of the purchase, including taxes and additional landed costs.

• Supplier Auditing: Reviewing historical purchase invoices to evaluate if a vendor consistently delivers goods at the agreed-upon prices.
• Reorder Planning: Analyzing past purchases of seasonal items to determine the optimal reorder quantity for the upcoming year.
