Manual Payments handle financial transactions that occur outside of the standard sale and purchase invoicing workflows. This feature is crucial for managing unique payment scenarios and maintaining accurate ledger balances.

- Customer Credit Clearances: A customer with a running credit line pays off their accumulated monthly balance in a single lump sum, independent of any individual sales invoice.
- Vendor Pre-Payments: Providing a supplier with a 50% upfront deposit before they begin manufacturing goods or providing a contracted service.
- Employee Cash Advances: Issuing preliminary funds to an employee for an upcoming business trip or an advance on their monthly salary.
- Owner Withdrawals: Recording cash taken out of the business by the owner for personal use, ensuring the business ledgers remain balanced.
Creating a Manual Payment
To record a new manual payment, select Create from the dashboard.
Payment Configuration:
- Type: Select whether this is a Receipt (money coming in) or a Payment (money going out).
- Party: Select the specific Customer or Vendor involved in the transaction.
- Cash/Bank Account: Choose the account where the funds will be deposited or withdrawn from.
- Amount: Enter the transaction amount.
- Date: Specify the date of the transaction.
- Reference: Add any relevant reference numbers (e.g., check number, transaction ID).
Impact of Manual Payments:
Saving a manual payment automatically:
- Updates the specific Cash/Bank Account balance.
- Updates the associated Customer or Vendor's sub-ledger balance.
Payment Details and Vouchers
After creating a manual payment, you can view its details and generate professional payment vouchers.
Payment Vouchers
Agora allows you to generate PDF vouchers for your manual payments, providing documented proof of the transaction.
