Employee accounts

Manage your workforce records, including salaries, joining dates, and outstanding employee balances or advances.


01 Employees Dashboard

The Employees tab provides a consolidated view of all staff members registered in your system.

Key Features

  • Main Table: Displays each employee's "Name", "Phone", "Joining Date", and "Actions" (edit or delete).
  • Search & Filters: Use the search bar to find specific staff members or apply filters (such as Tags or Balances) via the "Filters" menu.
  • Column Customization: Click the "Columns" button to reveal hidden fields, including "# (Serial Number)", "Email", and "Salary".

02 Creating an Employee

To onboard a new staff member into the system, click + Create Employee.

Required & Optional Fields

  • Basic Info: Enter the mandatory "Name" and "Phone" (e.g., Name: "Zaman").
  • Opening Balance:
    • Establish the financial baseline at the time of account creation.
    • Select We owe them (Payable) if there are unpaid prior wages, or They owe us (Advance) if they are starting with an active loan or salary advance. Enter the PKR amount.
  • Employment Details:
    • Enter their monthly "Salary" (e.g., PKR 30,000).
    • Select their mandatory "Joining Date" (e.g., 01/05/2026).
    • Provide an optional "Designation" (e.g., "Cashier").
  • Contact Info: Optionally enter an "Email" and physical "Address".

Click Create to save the employee profile.


03 Editing Employees

You can update an employee's details over time by clicking the pencil icon in the Actions column.

Modifying Records

  • The "EDIT EMPLOYEE" modal allows you to update their "Salary", "Designation", or contact information as they receive promotions or raises.
  • Like other account types, the "Opening Balance" field is permanently locked after creation to maintain strict accounting compliance.

Real-World Use Cases

  • Commission Tracking: Recording sales processed by individual sales staff to accurately calculate end-of-month performance commissions.
  • System Access Control: Linking an employee profile to a specific user login to strictly track which staff member performed which void or discount action.

Use Cases & Scenarios

  • Payroll Tracking: By setting the "Salary" and "Joining Date", you lay the groundwork for accurate payroll generation at the end of each month.
  • Advance/Loan Management: If an employee requests an advance against their future salary, recording an opening balance of "They owe us (Advance)" ensures the system tracks this debt for future payroll deductions.
  • Role Designation: Using the "Designation" field helps categorize your workforce (e.g., "Cashier", "Manager", "Warehouse Staff") for internal HR reference.
