Fiscal Periods act as the chronological framework for your financial reporting. By organizing your business activity into distinct months, quarters, and years, Agora ensures that your Income Statements and Balance Sheets are perfectly segmented for auditing and tax compliance.
Managing Financial Years
Before daily transactions can be posted, the overarching financial year must be defined.
Financial Year Configuration:
- Year Name: (e.g., "FY 2024").
- Start and End Dates: Defines the boundaries of the fiscal year. Transactions occurring outside these dates cannot be posted to this year's ledger.
- Status: Marks whether the financial year is active, closed, or locked for auditing.
Granular Period Control
Within a financial year, Agora breaks down time into smaller, manageable chunks called Fiscal Periods (typically months). This prevents transactions from being retroactively modified once a specific month has been reconciled.
Period Management Actions:
- Creation: Automatically generate 12 monthly periods under a newly created Financial Year.
- Locking: Once a month is reconciled (e.g., bank statements match the ledger), the period is marked as "Closed." No further transactions can be posted with a date falling within a closed period.
- Closing Adjustments: Specialized manual journal entries can be posted directly to a period right before it closes to account for accruals or depreciation.
Real-World Use Cases
- Preventing Backdated Fraud: Closing the "January" fiscal period on February 5th ensures that no employee can maliciously or accidentally backdate an invoice to January, which would throw off previously finalized tax reports.
- Year-End Tax Preparation: Locking the entire Financial Year once the accountants have filed the corporate tax return, ensuring the historical numbers remain frozen forever.
- Quarterly Reporting Strictness: Using fiscal periods to firmly separate Q1 and Q2 revenues, ensuring that sales made on April 1st are never accidentally recorded as March revenue.
